Right to Lodge a Complaint
If you believe that the processing of your personal data violates the General Data Protection Regulation (GDPR), you have the right to lodge a complaint with the competent data protection supervisory authority, the State Commissioner for Data Protection and Freedom of Information of North Rhine-Westphalia, www.ldi.nrw.de, as well as with any other data protection supervisory authority.

Right to Withdraw Consent
Consents granted can be withdrawn by you with future effect in accordance with Article 7 of the GDPR.

Right to Access, Erasure, and Rectification
According to Article 15 of the GDPR, you have the right to obtain information about the personal data stored about you, including any recipients and the intended storage duration. If incorrect personal data is being processed, you have the right to rectify it in accordance with Article 16 of the GDPR. If the legal conditions are met, you can request the erasure or restriction of processing and object to the processing (Articles 17, 18, and 21 of the GDPR).

If you request data deletion, but we are still legally obligated to retain the data, access to your data will be restricted (blocked). The same applies in the case of an objection. You can exercise your right to data portability to the extent that technical capabilities are available to the recipient and us.

III. Information on Data Processing on Our Website

 

III. 1. Website in General

Purposes of Processing
The purpose of data processing on this website is to provide information about our company's products and services, facilitate communication, and handle applications, allowing users to contact the relevant contacts within the company.

If you have provided us with personal data, we will use it to respond to your inquiries, provide advice, administer contracts with you, and handle technical administration. Your personal data will only be shared or transmitted to third parties when necessary for contract fulfillment or billing purposes, or with your prior consent. You have the right to revoke your consent at any time for future processing (please refer to the Right to Withdraw section).

The legal basis for the collection, processing, and sharing of data, within the context of contract fulfillment, is Article 6(1)(b) of the GDPR.

Withdrawal: The deletion of this data will occur after the expiration of applicable legal retention periods. If no legal retention requirements apply, data will be deleted once the purpose has been fulfilled. You have the right to access and object to the data we have stored about you at any time. Further information can be found under "Data Subject Rights" and "Right to Withdraw."

 

III. 2. Server Data Collection

Purpose of Processing
Various server statistics are automatically stored when you visit our site, which your browser transmits to our provider's server. This includes your device's IP address, date and time of access, the names and URLs of accessed files, the website from which the access originated or that redirected you to our site (referrer URL), your browser, and, if applicable, your device's operating system and your provider's name.

We process the mentioned data for the purpose of ensuring smooth connectivity and system security. These data are not merged with other data sources. The IP address is anonymized. Connection data is automatically deleted, usually after a maximum of seven days. If the website is misused, log data that needs to be retained for evidentiary purposes is kept until the incident is resolved.

The legal basis is Article 6(1)(f) of the GDPR.

 

III. 3. Contact Form and Email Inquiries

Purpose of Processing
When you use our contact form, we collect and store your name and email address to respond to your inquiry. Providing a phone number for a callback is optional. If you send us a contact inquiry by email, we collect and store your email address and the data contained in the email.

The legal basis is Article 6(1)(a) of the GDPR because, by using the form or sending an email, you consent to the processing of your data for the purposes mentioned above. The legal basis also arises from Article 6(1)(b) of the GDPR because storing the data is necessary for the fulfillment of a pre-contractual or potentially later contractual relationship.

Data will be deleted once the storage purpose is fulfilled, which means after we have responded to your email or contact form inquiry and resolved the related matter.

You have the right to withdraw your consent at any time without affecting the lawfulness of the processing based on your consent.

III. 4. Job Applications

Purpose of Processing
For job applications submitted through the contact form, email, or postal mail: If you apply for a position based on a job posting, we will collect and store your personal data, such as your first name, last name, address, phone number, email address, attachments (cover letter, resume, certificates, photo), for the duration of the selection process.

Your data will be used exclusively by authorized personnel in the HR department or management for processing during the selection process. Your personal data will not be shared with third parties.

If the specific position you applied for has already been filled but you may be considered for future employment based on your profile, we will seek your explicit consent before further storage or forwarding of your application, unless you have already consented to such storage or forwarding in your initial application.

If you submit an unsolicited application using our general contact email address, unauthorized personnel may have access to the content of your application email. There is a requirement that the application materials are immediately forwarded unopened to the HR department, and the incoming email is deleted. If you wish to prevent this, we recommend contacting us by phone before submitting an unsolicited application so that you can receive the contact details of the appropriate person to reach out to.

Unless you instruct us otherwise, your data will be deleted six months after the completion of the application process, or if submitted by mail, destroyed. Due to the extended application and selection process timelines for apprentices, we store their data in Germany for up to 18 months.

The legal basis is Article 6(1)(b) of the GDPR for the processing of pre-contractual measures.

Withdrawal: Depending on the applicable legal requirements, you have the following rights: the right to access your data stored with us; correction, deletion, or restriction of the processing of your data; objection to processing; and data portability. You also have the option to request the deletion or destruction of all your application materials by sending an email to: bewerbung(at)riedel-filtertechnik.com.

 

III. 5. Cookies

Purpose of Processing
This page does not use cookies by default. Cookies are data records (formerly just small text files) that are stored in your internet browser (e.g., Firefox, Google Chrome, Microsoft Explorer/Edge, Safari, etc.) when you visit our site, or on your computer (i.e., your operating system) from your browser. Using the cookie, which contains a specific string and potentially additional information, our website recognizes your internet browser when you visit it again. We use our own cookies, known as session cookies. These are used to manage the use of the website through a login area. These cookies are valid only for the duration of your browsing session and are deleted when you leave our site.

The legal basis for our own cookies is Article 6(1)(f) of the GDPR, as well as § 25(1) of the TTDSG. Our legitimate interest is to facilitate accessibility of the site for you with the mentioned cookies, without collecting any tracking data, thus respecting your personal rights and freedoms.

Purpose of Processing

Personal data will also be transmitted to the operator of the map, Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland, parent company: Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA, and cookies will be set by the operator. Therefore, it is possible that the provider may store your access and analyze your behavior.

  • Data from initial contacts such as name, phone number, email address
  • Supplier data such as name, phone number, email address
  • Employee data such as name, address, bank details, religious affiliation, employee number, social security number, log data generated during the use of IT systems, as well as other and special categories of personal data
  • Applicant data such as name, address, email address, marital status

Right to Lodge a Complaint
If you believe that the processing of your personal data violates the General Data Protection Regulation (GDPR), you have the right to lodge a complaint with the competent data protection supervisory authority, the State Commissioner for Data Protection and Freedom of Information North Rhine-Westphalia, https://www.ldi.nrw.de/ as well as with any other data protection supervisory authority.

Categories of Recipients
In the course of providing our services, we engage specialized service companies that are bound to confidentiality and data protection, where access to personal data cannot be excluded.

These categories of recipients include:

  • Contract processors appointed by us (Article 28 of the GDPR), especially in the areas of IT services, taxes, logistics, and printing services, who process your data on our behalf according to our instructions.
  • Public authorities and institutions (tax authorities) in the presence of a legal or official obligation.
  • Other entities for which you have given us your consent to transmit data.

Data will only be disclosed to authorities in accordance with prevailing legal regulations.

Objection to Data Storage
The data processing for the purpose of executing subsequent orders (either at the time of contract conclusion or at a later date) for 10 years is pursued from a data protection perspective due to legitimate business interests. IV. 2. Customer Data / Prospects

Purpose of Processing
We process data that we receive from you as part of our business relationship with you. We receive the data directly from you, either during prospect and contact inquiries, order placement, or order processing (see "Information on Data Collection and Processing").

Legal Basis
The collection and processing of data is necessary for the performance of the contract and is based on Art. 6(1)(b) GDPR. The use for direct marketing is based on Art. 6(1)(f) GDPR. It is our legitimate interest to inform you about special offers through direct marketing. Data will not be disclosed to third parties unless required by law, such as for tax purposes. Data will be deleted as soon as it is no longer required for the purpose of processing or after the expiration of legal retention periods (e.g., tax and commercial records: 10 years; commercial and business letters: 6-10 years; records of suppliers, type, quantity, acquisition, disposal: 3-10 years).

You have the right to object to the use of your data for direct marketing purposes at any time. You are also entitled to request information about the data we have stored about you and, in the event of incorrect data, request correction or, in the case of unlawful data storage, request deletion of the data. Furthermore, you have the right to lodge a complaint with a supervisory authority (see "Right to Lodge a Complaint").

Data Storage Duration

After the contractually owed service has been provided, your personal data will be stored for the purpose of legal warranty for 10 years, for the fulfillment of warranty conditions for 10 years, for the purpose of performing follow-up orders (requested at the time of contract conclusion or at a later date) for 10 years, and for tax purposes for 10 years.

Deletion of Data
At the latest, your personal data will be deleted after the aforementioned periods have expired.

 

IV. 3. Suppliers

Purpose of Processing
We process data that we receive from you as part of our business relationship with you. We receive the data directly from you when you place orders or process orders (see "Information on Data Collection and Processing").

Legal Basis
The collection and processing of data is necessary for the performance of the contract and is based on Art. 6(1)(b) GDPR. Data will not be disclosed to third parties unless required by law, such as for tax purposes. Data will be deleted as soon as it is no longer required for the purpose of processing or after the expiration of legal retention periods (e.g., tax and commercial records: 10 years; commercial and business letters: 10 years; records of suppliers, type, quantity, acquisition, disposal: 3-10 years).

You have the right to request information about the data we have stored about you and, in the event of incorrect data, request correction or, in the case of unlawful data storage, request deletion of the data. Furthermore, you have the right to lodge a complaint with a supervisory authority (see "Right to Lodge a Complaint").

IV. 5. Participants in Measures according to SGB

Purpose of Processing
We process data that we receive from you or the program sponsor as part of the program's execution. We obtain this data directly from you or the program sponsor.

Legal Basis
The collection and processing of data are necessary for the execution of the contract and are based on Article 6(1)(b) of the General Data Protection Regulation (GDPR). The use for direct marketing is based on Article 6(1)(f) of the GDPR and Section 318 of the Social Code Book III (SGB 3) (also regarding data disclosure). Data will not be disclosed to third parties unless legally required, such as for tax purposes to the tax authorities. The data will be deleted as soon as they are no longer necessary for the purpose of processing or after the expiration of statutory retention periods (such as tax and commercial records, which may be retained for 10 years; commercial and business correspondence, which may be retained for 6-10 years; records regarding suppliers, type, quantity, acquisition, and disposal, which may be retained for 3-10 years).

Additionally, you have the right to request information about the data we have stored about you and, if the data is incorrect, to request correction or deletion of the data in case of unauthorized data storage. You also have the right to file a complaint with a supervisory authority (see Complaints section).

Duration of Data Storage
After the completion of the contractually owed service, your personal data will be stored for the purpose of statutory warranty for 10 years, for the fulfillment of warranty conditions for 10 years, for the purpose of executing subsequent orders (either at the time of contract conclusion or at a later date) for 10 years, and for tax purposes for 10 years. The data will also be stored for 10 years for proof of execution and documentation purposes.

 

IV. 6. Applicants

Purpose of Processing
Online, email, or postal applications: When you apply to us based on a job posting, we will collect your personal data such as first name, last name, address, phone number, email address, and attachments (cover letter, resume, certificates, photo) and store them for the duration of the selection process.

Your data will be used exclusively by authorized personnel in the HR department or management for processing within the scope of the selection process. Your personal data will not be disclosed to third parties.

If the specific position you are applying for has already been filled, but your profile is suitable for future employment or for employment with a partner or subsidiary company, we will obtain your explicit consent before further storage or transmission of your application, unless you have already consented to such storage or transmission in your initial application.

If you apply to us proactively and use our general contact email address, the content of your application email may be viewed by unauthorized personnel. There is a guideline that requires unopened application documents to be immediately forwarded to the HR department, and the incoming email is deleted. If you wish to prevent this, we request that you contact us by phone before submitting your unsolicited application so that we can provide you with the contact details of the correct person to address.

Legal Basis is Article 6(1)(b) of the GDPR, for processing pre-contractual measures.

Unless you inform us otherwise, your data will be deleted or destroyed 6 months after the conclusion of the application process or in the case of postal applications. Due to the long application and selection periods for apprentices, their data is retained in Germany for up to 18 months.

You have the following rights, subject to the respective legal requirements: the right to obtain information about your data stored with us, correction, deletion, or restriction of processing of your data, as well as the right to object to processing and the right to data portability. You also have the opportunity at any time to request the deletion or destruction of all your application documents by sending an email to bewerbung@riedel-filtertechnik.com.

 

IV. 7. Video Surveillance

Purpose of Processing
Our purpose for video surveillance is vandalism prevention, theft protection, exercise of house rights, protection of individuals and property, protection against industrial espionage, access control, and burglary prevention. We, as the responsible entity, process personal image files obtained through video surveillance on our premises outside business hours. The storage period is 3 working days.

Legal Basis is Article 6(1)(f) of the GDPR. Our legitimate interest is in burglary prevention and the protection of our property and access control.

These data will only be disclosed to law enforcement agencies in the event of criminal offenses.

You have the right to request confirmation from us as the responsible entity whether personal data concerning you is being processed. If this is the case, you have the right to access this personal data and, if the data is incorrect, to request correction or, in cases of unlawful data storage, deletion of the data. You also have the right to file a complaint with a supervisory authority (see Complaints section).
